Ford Pro AI Saves Fleet Managers 20 Hours of Admin Monthly

Fleet managers – those who oversee a company’s commercial vehicles, drivers and related logistics – are struggling to keep on top of administrative tasks, according to telematics expert Jeremey Gould, who has been in the industry for 25 years, and serves as the Director of Ford Pro Solutions in Europe.
“Only the largest companies have dedicated fleet managers and many of those are already multitasking, working on bits for HR, finance and marketing,” he explains.
“Smaller customers don’t have dedicated fleet managers and often in the field. It’s only in the evening that they have time to think about optimising their fleet operations. So anything they can do to improve their work is really welcomed by them.”
Recent Ford statistics back this up. Unexpected vehicle downtime incident results in an average of 2.4 hours of administrative work, rising to 2.7 hours for medium or large fleets. For hybrid managers, fleet administration consumes 5-10% of their overall working time, which equates to 15 to 20 hours per month on tasks.

Ford Pro AI, an AI-powered solution that assists fleet managers with data analysis, launched in Europe today.
Ford doesn’t just sell vehicles. The company reached more than 900,000 active paid software subscriptions globally in Q2 2026. These subscriptions include Ford Pro Telematics, which Ford Pro AI is embedded directly into.
“The launch of Ford Pro AI marks another milestone in the Ford journey,” Jeremey says.
The platform – which is powered by Google Cloud Platform and Gemini – answers questions about driving behaviour, vehicle utilisation, trip and location history and vehicle health and maintenance, based on data from fleet reports.
“We’re replacing manual data searching with instant, conversational answers, all designed to enable fleet managers to quickly find actionable, digestible insights to keep their fleets running smoothly,” Jeremy says.
Ford Pro AI works by accessing deep, high-fidelity vehicle signals, ranging from precise engine health metics and batter state of chare to real-time seatbelt usage.
It combines proprietary vehicle schematics with real-time telemetry to tell a fleet manager exactly why a vehicle may have a warning light and how to fix it.
“A big concern for fleet managers at the moment is rising fuel costs,” says Madeline Oshodi, Product Launch Specialist at Ford. “So I can go in and ask it to provide two recommendations to help reduce fuel costs.”
That’s something we could all do with knowing... The two recommendations from the platform were to cut idling and speeding, which leads to harsh breaking. These answers during a demo hosted by Madeline were taken from general information, available online and sourced by Gemini. However, tailored recommendations are available if you ask specific questions like if vehicles are being mostly driving in a city or highway.
Another example presented in the demo was asking which drivers of a fleet had the lowest driving score, which led to a summary of all speeding violations, including knowing which vehicles and drivers were involved. It then provided multiple AI-generated recommendations to reduce their speed moving forward, including targeted coaching, in-vehicle coaching, using thresholds/alerts and applying vehicle controls where appropriate.

Smart tech for less stress
Ford Pro AI is designed to remove the admin work from fleet managers’ work.
“The other common theme that we see with fleet managers is they are drowning in data,” Jeremy adds. “Today, they waste a lot of time getting the information they need so critical information like safety issues get lost in the noise.”
The tool also provides access to vehicle health and maintenance information like what vehicles need servicing this month.
Ford Pro AI is included at no extra cost as part of the Ford Pro Telematics subscription, without any need for additional setup.
While it is only available as a chat function right now, Madeline confirms that voice functionality will be available as part of Ford’s future updates.
Ford is also looking into incorporating financial and deeper technical information into Ford Pro AI.
“We are rapidly developing the AI capability and intelligence to also access different data sources across the whole of Ford Pro – watch this space,” she says.
